Due to a substantial increase in work, our Operations Team is looking to recruit a part time Administration and Accounts Office Assistant to work in our Brighton Office (though there may be capacity to work remotely/from home subject to an initial training period in our Brighton office being successfully completed).

Main Duties and Responsibilities

Old Bailey Solicitors is seeking an Administration and Accounts Office Assistant to support our Practice Manager and Accounts department in all aspects of its Criminal Legal Aid billing (and privately funded matters as required) and administration. The Assistant will work closely with our Practice Manager and report to the Director.

Main duties:

  • Legal Aid Billing
  • Submitting monthly criminal contract claims to the LAA
  • Submitting claims for Costs out of Central Funds
  • Processing prior authority claims / interim payments
  • Maintaining detailed electronic records of all claims to support cash flow
    forecasting and budgeting.
  • Maintaining efficient and effective filing systems for criminal legal aid bills and
    related documentation
  • Reconciliation of crime submission (monthly and yearly)
  • Working with the Practice Manager to check payment remittances from the LAA
    and other public funding bodies for accuracy.
  • Working with Accounts to process invoices from counsel, experts, consultants,
    and other providers of service for the firm, ensuring that invoices are authorised
    by the appropriate fee earner and are accurately referenced.

Key skills required:

  • Demonstrate passion and expertise in Legal Aid Billing with experience in drafting
    legal aid bills.
  • In depth understanding of the LAA Codes and relevant Legal Aid Rules relating to
    costs
  • Excellent communication and interpersonal skills, analytical and organisational skills
    as well as the ability to use own initiative and when to seek guidance.
  • Committed team player, self -motivated and professional individual.
  • Excellent IT Skills – familiar with Microsoft Office and document management skills
